A data center decommissioning checklist should cover five stages — planning, a full asset inventory, secure data destruction, safe removal with a chain of custody, and documentation with certified recycling. The goal is that every device is accounted for, no data leaves readable, and your organisation keeps the certificates that prove it.
Closing, consolidating or refreshing a data center or server room is a project with real risk: lost assets, exposed data and missing paperwork. Use this checklist to keep every step under control.
1. Planning
- Define the scope: which rooms, racks and systems are being retired, and when.
- Name an owner for the project and contacts in IT, security, facilities and finance.
- Confirm that services and data have been migrated and backed up before shutdown.
- Check your data-protection policy and any contract or regulatory requirements for data destruction.
- Choose a licensed e-waste recycler and agree the schedule, method and documents in advance.
2. Inventory
- List every device with its type, make, model and serial or asset tag number.
- Identify every data-bearing component: hard drives, SSDs, storage arrays, and network equipment holding configurations.
- Mark which devices will be reused or resold and which will be recycled.
- Reconcile the list with your asset register so nothing is missing.
3. Data destruction
- Decide the method for each group: physical destruction (hard drive damage), or certified software erasure for devices that will be reused.
- Decide whether destruction must happen on-site, inside the data center, so no media leave the building.
- Count storage media before destruction and match them to the inventory.
- Obtain a certificate of data destruction for the job.
4. Removal and transport
- Power down and disconnect equipment safely, following your change-management process.
- Remove, label and pack equipment, keeping it matched to the inventory.
- Hand over under a documented chain of custody, with the equipment weighed and recorded.
5. Documentation and closing
- Collect the weighing records, the certificate of data destruction and the recycling certificate.
- Update your asset register and close the retired assets in finance.
- Store the documents for audits and include the recycled weight in ESG reporting.
- Review the project and note lessons for the next refresh.
